Terms & Conditions

The terms and conditions detailed below apply to all bookings made with The Scotsman Hotel, Edinburgh, whether via hotels website, direct with hotel/ central reservations or through an agent.

Online Exclusive

Book your bedroom direct and receive complimentary bottle of Prosecco in your room for arrival and save up to 15% on accommodation rates – this offer is only available on online bookings on www.scotsmanhotel.co.uk and is not available for bookings made via Central Reservations, at hotel reservations nor bookings on any other online booking channels. Bottle of complimentary promotional Prosecco cannot be replaced or swapped. The Scotsman Hotel, Edinburgh reserve the right to withdraw this offer at any time and without prior notice.

Arrival at The Scotsman Hotel

On arrival at The Scotsman Hotel please check in at the hotel reception desk (on Level 4) where our reception team will be waiting to welcome you.

 You will be required to fully complete & sign a registration card and prepay your accommodation (if not already prepaid) before accessing your room.  You will also be required to provide a credit card which we will authorise/approve for an additional £50.00 for incidentals.  These held funds are released after check-out should nothing be charged to your room during your stay.  Should you not possess a credit card but provide a debit card instead, then £50 will be charged to your card and if unused, will be refunded upon check-out.  Should you not agree to a preauthorisation of your credit/debit card, you will be unable to charge off to your room, and as such will be required to pay, each time you order and receive any goods or services.

We also reserve the right to charge your credit/debit card for any damage done to your room during your stay or for any items that are missing when you leave.

Check in and Check Out

Check-in time after 15:00 hours and Check out time before 11:00 hours

Reservations

When your booking is completed you will be issued with a confirmation number. Please bring this confirmation number with you when you check in together with a payment card that you booked with as proof of identification.

Should a room have been booked in your name but you do not plan to stay, you must let our reservations team know in advance of the date of arrival so we can make the changes to allow a smooth check-in.

To avoid fraudulent transactions, bookings cannot be transferred without prior notice to the hotel and we can only allow check-in to a guest who booked the room online/ via our reservations team.

At check-in, the Hotel will charge the credit card given for any outstanding charges. This card will also be authorised for an additional fifty pounds per night for incidentals, these funds are released after check-out. Should the guest not possess a credit card but instead a debit card, then the additional fifty pounds per night will be charged to their card and any unused funds will be refunded upon check-out.

Rates

All rates are inclusive of Service and VAT at the current rate.

Best Available Rates are available until the day of arrival. These rates allow you to alter or cancel your booking up until 2pm on the day before arrival without charge. Amendments or cancellations made after 2pm on the day before arrival will incur a 100% charge of the first nights room charge.

Advance Purchase/ Non Refundable Rates are available 7 days or more before the date of arrival and are fully prepaid at time of bookings. Advance Purchase Rates are non-refundable and non-transferable.

Promotional and Special Offer Rates a part or full payment will be required to be paid at time of booking and this payment is non-refundable and non-transferable. Please refer to details on each offer.

For groups of 5 rooms or more (10 people plus) a 25% non-refundable deposit is required to secure the reservation and the remaining balance may be due 4 weeks prior to arrival.

Individual bookings over the value of £2000 booked on Best Available Rate will be required to pay a 25% non-refundable deposit to secure the bedroom.

Our promotional rates are a discount off our Best Available rate which can be cancelled up to 2pm the day prior to arrival. The promotional rates can also be applied to our advance purchase rates which are currently a 10% discount off our Best Available rate plus the promotional discount. The advance purchase rates are pre payable at the time of booking and are non-refundable and non-transferable.

Cancellation Policy

If for any reason you cannot make it to stay, you will need to let us know no later than 2pm on the day before arrival. If you don’t let us know before this time, unfortunately, we will have to charge you for the first nights stay.

If you are on Advance purchase rates or promotional rates full prepayment is taken at the time of booking and your prepayment is non-refundable and non-transferable.

If you have booked your bedroom through an Agent the cancellation charges are the same as above however all amendments and cancellations must be processed through your agent, this cannot be done directly with the hotel.

Special Requests

Whist every effort will be made to carry out special requests, they cannot always be guaranteed.

Pet Policy

With the exception of working dogs for disabled people, our hotel does not accept pets.

Smoking Policy

Please note all public areas and bedrooms are all non smoking, this policy allows us not only to meet legal requirements, but also to create a comfortable environment for all guests to enjoy.

Should we believe that guests have been smoking in bedrooms or any other part of the hotel, a Smoking Fine of £100 will be charged for a deep clean and they will also be asked to leave the premises.

Complaints or Comments

Any complaint or comment regarding a stay should be made in the first instance to the hotels duty manager at the time of your stay so that it can be resolved at the time.

Relocation

In the event that the chosen hotel is not available, or in cases of force majeure the hotel reserves the possibility of accommodating the customer totally or partially in a hotel of equivalent category for the same type of services. Any additional cost of the room, transport between the two hotels remain the responsibility of the hotel.

DEPOSITS/FULL BALANCE T&CS

  • All monies received as a deposit payment toward a future reservation or event are subject to our company terms & conditions; any reservation cancelled 14 days prior to the date of the event will receive a full deposit refund. If cancellation occurs less than 14 days prior to the reservation date all monies paid will be non-refundable and are also non-transferable.
  • Please note the above T&Cs are not applicable for all reservations from November 25th to December 31st. All reservations during the festive period are non-refundable and non-transferrable.
  • Wedding and private events may have separate terms and conditions which can be found on the venue website.
  • Minimum spends: all minimum spends are to be arranged prior to your event. all prices are inclusive of VAT. if you and your guests do not make the minimum spend, you will be asked to pay the difference up to the agreed minimum spend.
  • Severe Weather Policy: In the event of a venue being unable to open due to severe weather, bookers will be contacted by individual venues to offer rescheduled dates within the subsequent ten days. Dates subject to availability. All other cancellations are bound by our standard terms and conditions. All guests must be available to be seated at the arranged time of booking. Failure to do so will result in loss of bookings and deposit paid.

SERVICE CHARGE

Here at Scotsman Hospitality, we as a team promise to deliver an exceptional service for you and your friends, and we hope you agree. With that in mind, a 10% discretionary service charge will be applied to your final balance. We can assure you that this full amount will be distributed evenly between all of our employees who helped make your event a memorable one.

ALLERGENS

For our guests with food sensitivities, allergies, or special dietary needs: We prepare and serve products that contain all 14 major allergens. Although we and our suppliers take every care in preparing your meal, regular kitchen operations across our supply chain involve shared cooking and preparation areas, and food variations may occur due to ingredient substitutions, recipe revisions, and/or preparation at the restaurant. For these reasons, we cannot guarantee that any menu item will be completely free of allergens. If you have an allergy, please make this known to a venue manager at soon as you arrive at the venue.

CHALLENGE 25

All of our venues hold a challenge 25 policy. This means staff hold the right to request identification from those who look under the age of 25 – this is for purchases of alcohol or any item that has a legal age requirement. Service is refused if you cannot show one of the following; Passport, Drivers License or Scottish Pass Age Verification.

Scotsman Insider, Membership Terms and Conditions

Parties

This agreement relating to Scotsman Insider membership is entered into between Hamilton House Investments Limited t/a The Scotsman Hotel (“Scotsman”) and the individual whose details are set out at the end of this agreement (“Member”) in relation to certain services to be made available at The Scotsman Hotel, 20-26 North Bridge, Edinburgh (the “Hotel”).

Period of Agreement

This agreement begins on the date on which the first instalment of the Membership Fee is paid in terms of clause 5.2.1 and continues until it is terminated in accordance with the provisions set out in this agreement (the “Period”).

Membership Benefits

3.1. During the Period, Scotsman will provide the following services (the “Services”) to the Member, subject to the other terms of this agreement:
3.1.1. complimentary continental breakfast from Monday to Friday 8.00am to 10:30am within The Press Bar at the Hotel;
3.1.2. access to workspaces (with wifi and power points) in designated areas within the Hotel, during general opening hours;
3.1.3. unlimited tea and coffee for consumption by the Member during general opening hours;
3.1.4. access to the Hotel gym during the hours of 7.00am to 10.00pm each day;
3.1.5. 20% off food purchases within The Grand Café and The Press Bar within the Hotel (only applicable to groups of up to six people and not larger parties or functions);
3.1.6. exclusive hotel accommodation, meetings and events discounts (which are subject to availability and may vary from time to time);
3.1.7. access to a networking event on Thursdays each week from 5.00pm to 6.00pm with complimentary chef’s choice of canapes and a drink from house options;
3.1.8. two complimentary cinema tickets per month for The Scotsman Picturehouse within the Hotel;
3.1.9. 20% off parking at APCOA Waverley Car Park;
3.1.10. one complimentary guest pass per day entitling a guest of the Member to free use of the workspaces and one complimentary tea or coffee;
3.1.11. a one-year digital newspaper subscription to The Scotsman newspaper;
3.1.12. access to monthly networking events and other special offers.
3.2. Scotsman will be entitled to suspend provision of any Services on national, bank or public holidays and shall use reasonable endeavours to communicate such suspensions to the Member in advance.
3.3. Scotsman will be entitled to amend or withdraw any of the Services at any time. Some aspects of the Services may be temporarily suspended, including for reasons outwith Scotsman’s control. Scotsman will endeavour to provide prior notice of any amendment, withdrawal or suspension to the Member.

Conditions of Use

4.1. Use of the Services requires the Member to have access to a smart phone and download and register on the Hotel’s app. The QR code generated from time to time on the Hotel’s app will require to be shown in order to access certain of the Services. Other requirements may regulate access to certain of the Services.
4.2. Some aspects of the Services are subject to availability and no guarantee can be given that, for example, any particular workspace will be available at any given time.
4.3. Use of the Services will be subject to any Hotel policies intimated to the Member from time to time.
4.4. The Services may be provided in different areas of the Hotel from time to time and Scotsman will advise the Member, on request, of any changes to locations.
4.5. Services are provided strictly for the benefit of the Member only and must not be shared with others (excepting the complimentary guest pass at clause 3.1.10 and cinema tickets at clause 3.1.8).
4.6. Anything consumed by the Member outwith the Services must be paid for by the Member.
4.7. The Services are non-transferable and may not be used outwith the times stated above nor transferred to future dates or times for future use.
4.8. The car parking discount referred to at clause 3.1.9 applies only to entry tickets collected upon arrival and does not apply to pre-booked spaces or app-based payments. The entry ticket must be validated at the Hotel reception prior to payment being made for car parking. As the car park is operated by a third party provider, Scotsman cannot guarantee that parking spaces will be available at any particular time.
4.9. The complimentary cinema tickets referred to at clause 3.1.8 must be collected from the Hotel reception and presented at the time of booking.
4.10. No refund or credit will be given to a Member in respect of any unused Services.

Membership Fees

5.1. The Services are provided strictly in exchange for payment by the Member to Scotsman of a membership fee of £99 per month (inclusive of VAT) and subject to variation as set out in this clause 5 (the “Membership Fee”).
5.2. The Membership Fee must be paid as follows:
5.2.1. an initial payment must be paid by cash or credit or debit card to Scotsman at the point of the Member signing this agreement, covering the period (if the Member signs this agreement prior to the 14th day of the month) from the date of signing to the last day of the month OR (if the Member signs this agreement on or after the 14th day of the month) from the date of signing to the last day of the following month (in each case pro-rated on a daily basis);
5.2.2. thereafter monthly payments must be paid by direct debit on the first day of each calendar month. If the first day of the month is a weekend or bank holiday, payment may be taken on the next available working day. The Member must provide all necessary direct debit forms, information and instructions to enable payment to be taken by direct debit. The direct debit will refer to “EH1 Limited”.
5.3. If any payment of the Membership Fee is not made on time or is subsequently reversed, Scotsman will be entitled to immediately withdraw the provision of all Services to the Member.
5.4. No part of the Membership Fee will be refunded if any of the Services are temporarily unavailable or are amended or withdrawn.
5.5. Scotsman will be entitled to amend the amount of the Membership Fee as at 1 April each year. Scotsman will give Member at least 30 days’ prior notice of any change to the Membership Fee.

Cancellation

6.1. Scotsman or the Member may terminate this agreement as at the first day of any calendar month by giving at least 30 days’ prior notice of termination.
6.2. Scotsman may also terminate this agreement with immediate effect:
6.2.1. in the event of non-payment of any instalment of Membership Fees;
6.2.2. in the event of a breach by the Member of the terms of this agreement, licensing laws or Hotel policies;
6.2.3. if Scotsman reasonably considers that continuing to make the Services available to the Member may bring Scotsman or the Hotel into disrepute,
and, in each case, no part of the Membership Fee will be refunded.

Transfer

The Member will not be entitled to transfer its interest in this agreement. Scotsman will be entitled to transfer its interest in this agreement to any party which takes over operation of the Hotel.

Limitation of Liability

The extent of Scotsman’s liability under or in connection with this agreement (regardless of whether such liability arises in delict, contract or in any other way and whether or not caused by negligence or misrepresentation) shall not exceed the sum of £100. Scotsman shall not be liable to the Member for consequential, indirect or special losses. All warranties and conditions whether express or implied by statute, common law or otherwise are excluded to the extent permitted by law. Notwithstanding the above or any other provision of this agreement, the liability of Scotsman shall not be limited in any way in respect of (i) death or personal injury caused by its negligence, (ii) fraud, fraudulent misrepresentation or wilful dishonesty, or (iii) any other losses which cannot be excluded or limited by applicable law.

Payment Queries

l queries or disputes in relation to charges made in terms of this agreement must be submitted to insider@scotsmanhotel.co.uk within 14 days of the transaction taking place, failing which the charge will be deemed to be accepted by the Member.
